02Data we collect
- Contact and consultation requests: name, company or organisation, email address, phone number (optional), the service you are interested in, your message and the page you sent it from.
- Newsletter sign-ups: your email address and your consent to receive updates.
- Correspondence: anything you share with us by email, phone or video call while we discuss a project.
- Technical data: when you load the website, your browser sends standard information such as IP address, browser type, device, the page requested and the time. Our hosting server records this in short-lived logs to keep the site secure and working.
We do not use analytics, advertising or tracking cookies, and we do not build visitor profiles.
03How and why we use it
- To answer your enquiry and prepare a proposal — necessary to take steps at your request before entering into a contract (GDPR Art. 6(1)(b)).
- To deliver and support projects we agree with you — necessary to perform our contract (Art. 6(1)(b)).
- To send our newsletter — based on your consent, which you can withdraw at any time (Art. 6(1)(a)).
- To keep the website and contact form secure, for example by preventing spam and abuse — our legitimate interest (Art. 6(1)(f)).
- To meet legal, tax and accounting obligations (Art. 6(1)(c)).
05International transfers
We work from Pakistan and Germany, and some of our providers operate in other countries, including the United States. Where personal data from the European Economic Area is transferred outside it, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses or adequacy decisions.
06How long we keep it
- Enquiries that do not lead to a project: up to 3 years, then deleted.
- Client and project records: for the duration of the relationship and as long as required for legal, tax and accounting purposes afterwards.
- Newsletter data: until you unsubscribe or withdraw consent.
- Server logs: kept only for a short period for security, then deleted.
07Client data in our projects
When we build or run a system for a client, we may process personal data on that client’s behalf, for example customer records in a CRM or documents in a processing pipeline. In that case the client is the controller, and we act only on their instructions under a written agreement, with access limited to what the work requires.
08Your rights
Depending on where you live, you may have the right to access your data, correct it, delete it, restrict or object to its processing, receive it in a portable format and withdraw consent at any time. To use any of these rights, email contact@swiftlyops.com. You can also complain to your local data protection authority.
09Security
We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS), access controls and limited permissions. No method of transmission or storage is completely secure, but we work to protect your information and review our measures regularly.
10Changes to this policy
We may update this policy when our services or legal requirements change. The date below shows when it was last revised.
