Reading documents and typing their contents into other systems is one of the most common and least loved tasks in any office. Modern AI can handle much of it, but the best results come from combining automation with the right amount of human review.
Where AI does the heavy lifting
AI models are now very good at finding the important information in a document, even when every supplier uses a different layout. Invoice numbers, dates, totals, line items, addresses and contract terms can be extracted from PDFs, scans and email attachments in seconds.
- Supplier invoices and receipts
- Purchase orders and delivery notes
- Application, intake and registration forms
- Contracts, agreements and renewal terms
Why validation matters more than extraction
Getting text out of a document is only half the job. A reliable system also checks the result: does the total match the line items, is the supplier known, does the order number exist, is the date plausible? These rules catch most problems before they reach your accounts or CRM.
Where people should stay in the loop
Some fields carry more risk than others. For financial figures, personal data or unusual documents, the system should route the result to a simple review screen instead of posting it automatically. Your team then reviews the exceptions rather than every page, which is where the real time saving comes from.
Measuring success
Before rolling out, run a pilot on your own documents. Measure how many go straight through, how many need review and how long each review takes. Those numbers tell you the real return and show where to improve the rules next.
Getting started
Start with one high-volume document type, such as supplier invoices, and one destination system. Once that runs smoothly, adding new document types is much faster. If you would like help choosing a starting point, our free workflow audit covers exactly that.
